Per-seat pricing means a software tool charges a fixed monthly fee for every person who has a login. In customer support software each agent who answers chats or tickets is a seat, so the bill grows with the size of your team.

How per-seat pricing works

The vendor sets a price per seat per month, often lower if you pay for a year upfront. Three agents on a $29 plan cost three times $29. Intercom, for example, lists Essential at $29 per seat a month billed annually, or $39 if you pay monthly. Zendesk Support Team is $19 per agent a month, billed yearly.

Many support tools now add a second meter for AI, such as a fee per resolution, so the seat price is only part of the bill.

The trade-off

  • In its favour: it's easy to understand, and the price stays predictable as long as your team doesn't change.
  • Against it: every new hire, part-timer or seasonal helper adds to the bill, so teams end up sharing logins or keeping people out of the inbox.
  • When an AI agent answers most of the questions, the work is done by the AI, not by the seats, so the seat count says less and less about what you get.
