An internal knowledge base that answers, instead of being searched. Your staff, dealers and partners ask in their own words. The agent replies from your manuals, price lists and today's stock, with the source, on a signed-in page.

An internal knowledge base is the place where a company's own know-how lives: manuals, procedures, price lists, product specifications, parts lists, contract terms. Most tools store that knowledge as pages someone has to find. SimplyBoost turns it into an assistant: a colleague, a dealer or a field technician types a hard commercial or technical question on a signed-in page, in their own language, and gets the answer from your documents, with the page it came from. Stock and prices come from your own systems through the API, as often as you push them. One European vehicle manufacturer runs it for its dealer network this way, with stock refreshed up to 200 times a day. Hosted in Europe, with a data processing agreement, from €89 a month.

What is an internal knowledge base?

The definition first, because the term covers three different things.

A wiki
Pages that people write and other people search. Notion, Confluence, Slite, Document360. Good while someone keeps it current; silent when the answer sits in a PDF nobody uploaded.
A document store
SharePoint, Google Drive, the shared folder. Everything is there, nothing is findable, and the person who knows which file is on holiday.
An assistant that answers
The documents stay where they are. A colleague asks a question and the agent reads the manual, the price list and the parts list, writes the answer and shows the source. This is what SimplyBoost is.
Why the third one wins
Nobody has to write wiki pages. The knowledge is the documents you already have, and the question is answered in the words the person used, in their language. Call it a company knowledge base, a team knowledge base or an internal KB: the test is the same.

Internal knowledge base examples

The same agent, four audiences. Each lives on a signed-in page, so only the right people see it.

The dealer portal

A vehicle or machinery brand puts the agent inside its dealer portal. A dealer asks "which battery fits the 2024 model and is it in stock" and gets the answer from the technical manual plus the stock file the brand pushes through the API. The brand's support desk sees only what the agent could not answer.

The sales desk

Account managers ask for delivery terms, discount rules and the right spec sheet while the customer is still on the phone. The agent reads the price list and the terms as they are today, not the version from the last training session.

Field technicians

An installer on a roof asks on WhatsApp what error code E47 means on a particular inverter and gets the manual's answer and the first check to make. The question never reaches the service desk.

HR and operations

Leave rules, expense policy, the onboarding checklist, the safety procedure for one machine. New colleagues ask the agent instead of a colleague, and the answer is the same every time.

A wiki is the right tool when your knowledge is born as wiki pages. When it is born as manuals, price lists and spreadsheets from suppliers, an agent that reads those is the shorter road.

How the dealer portal example works

A European light-vehicle manufacturer with a dealer network across several countries. Built with SimplyBoost; the pattern is the same for any partner network.

The knowledge

Technical manuals per model, the parts catalogue, the price list, the warranty terms and the dealer agreement, uploaded once. PDFs up to 50 MB, scanned ones included.

The stock

The manufacturer's own system pushes the current stock as a text source through the API, 100 to 200 times a day. An unchanged push costs nothing; a changed one swaps the knowledge live, without the agent going offline.

The sign-in

The portal signs each dealer in with a key only the manufacturer holds, so the agent knows which dealer is asking and nobody outside the network can reach it.

The language

A Dutch dealer asks in Dutch, a French one in French, from the same German and English manuals. Fixed languages: English, Dutch, German, French, Spanish, or the language the dealer writes in.

The handover

A question the documents do not answer goes to the manufacturer's support desk with the conversation attached, and is listed under Missing answers so the manual can be completed once.

The cost

The Growth plan at €89 a month, which includes signed-in visitors and the API. The developer's work on the manufacturer's side: one script that reads the stock and one that signs dealers in.

How to set up an internal knowledge base in an afternoon

  1. 1

    Upload what you have

Your intranet pages, manuals, price lists, procedures. PDFs, Word, text and CSV. Nothing needs rewriting.

  2. 2

    Ask the twenty hardest questions

The ones your best colleague gets asked. Where the agent says it does not know, add the document that holds the answer.

  3. 3

Put it on a signed-in page

Your intranet, your portal or a page behind your login. Our identity check takes a few lines of code; the guide covers PHP and Node.

  4. 4

    Connect what changes daily

Stock, prices, planning: a script on your side pushes them through the API on a schedule. Live questions can call your own endpoint through an action.

  5. 5

    Watch the Missing answers list

Every week it shows what people asked that no document covered. Add the answer once; it is answered forever.

What it costs

SimplyBoost is a flat monthly price. Starter is €39 a month with 500 AI answers for a knowledge base on a public page. Growth, €89 a month with 2,000 answers, adds signed-in visitors and the API, which is what an internal knowledge base needs. Pro is €169 with 6,000 answers for several brands or teams. Every plan has three agents, so the internal assistant and the public one live in the same account with separate knowledge.

There is no price per user. A dealer network of 300 dealers pays the same as a team of 10. Enterprise is a quote, with a named contact and, by arrangement, the chat under your own name.

Internal knowledge base questions

A company's own know-how, organised so that staff and partners can find it: manuals, procedures, price lists, specifications, terms. In SimplyBoost it is the set of documents the AI agent answers from, on a signed-in page, with the source shown under each answer.

A wiki stores pages people write; SharePoint stores files people search. SimplyBoost reads the documents you already have and answers the question in the words the person used. Nobody writes wiki pages, and the answer always names the document it came from.

Yes, in two ways. Your own system pushes stock or prices as a knowledge source through the API as often as you like; a push with unchanged text costs nothing and a changed one swaps live. For a question that needs a lookup at that moment, an action calls your own endpoint during the conversation. Both need a developer on your side; we provide the guide.

Only people your website signs in. The page signs each visitor with a secret only you hold, and the agent refuses anyone without it. The public agent and the internal one are separate agents with separate knowledge, in the same account.

Websites and intranet pages, PDFs up to 50 MB including scanned ones, Word files, text and CSV. Excel and PowerPoint are not read directly; export them to PDF or CSV first.

Hosted in Europe, with a data processing agreement you can download. Conversations are deleted after 360 days; you can delete a contact earlier. The model is Google Gemini.

A dealer portal that answers technical and stock questions, a sales desk asking for terms and spec sheets, field technicians asking about error codes on WhatsApp, and HR answering policy questions for new colleagues. All four run on the same product.
