What is a rule-based chatbot?

A rule-based chatbot follows a script built in advance: it shows buttons or menus, or matches keywords, and gives a fixed answer for each path. It doesn't understand free text, so it only handles the questions its builder thought of.

How a rule-based chatbot works

  • Someone draws a flow: a greeting, a few buttons, and branches behind each one.
  • Every button or keyword leads to a fixed answer or the next step.
  • Free text is matched against a keyword list. If nothing matches, the bot replies with something like "Sorry, I didn't understand".
  • Every new question means editing the flow by hand.

Strengths and limits

  • In its favour: it is predictable. It says exactly what you wrote, which suits fixed steps like choosing a department or confirming an address.
  • Against it: customers rarely type the way the flow expects. "Can I bring my dog to the appointment?" falls straight through.
  • Large flows get hard to maintain. A price change can mean updating the same answer in several branches.
