Ten checks, one week, one decision. How to evaluate AI customer support software in 2027 with your own questions instead of a vendor's demo, which red flags end a trial early, and how the main tools score.

Most AI customer support software is chosen in a demo, which is the one place every tool looks good. This checklist moves the decision to your own data: twenty real questions, your busiest month, your returns policy as a PDF. Ten checks, one week, and a scorecard at the end. I build SimplyBoost, so I also show how it scores, and where a competitor would score higher.

Before you look at any vendor

Export last quarter's tickets and tag the twenty questions that come up most. Write down your busiest month: how many conversations, how many people answered them. Download your returns policy, your delivery terms and your price list. That is the whole evaluation kit, and it fits in one folder.

The ten checks

1. Does it answer only from your content?

Give the trial your website and one PDF, then ask a question whose answer is in neither. A good agent says it does not know and offers a person. A bad one invents. SimplyBoost answers only from the knowledge base and lists every unanswered question in a Missing tab so you add the answer once.

2. How many of your twenty questions does it get right?

Ask all twenty in each trial, from the actual tickets, in the words customers used. Count correct answers, honest refusals and wrong answers. A tool that scores sixteen correct and four honest refusals beats one that scores eighteen correct and two confident mistakes.

3. Can it act, not just answer?

Order status after an email check, a return started, an appointment booked from the real calendar, a lead captured and rated. SimplyBoost does all four; order actions work with Shopify, booking with Google Calendar in website chat. Score each tool per action.

4. Are website chat, WhatsApp and Instagram included?

Not available, included. Intercom lists WhatsApp and Instagram as add-ons. Zendesk includes them on Suite plans. Chatbase and Tidio include them. SimplyBoost includes all three on every plan with one knowledge base. Add the price of any add-on to the entry plan before comparing.

5. What does your busiest month cost?

Put your conversation count and team size through each model. Per seat plus per outcome (Intercom: $29 a seat plus $0.99 per Fin outcome), per agent plus resolution packs (Zendesk: $55 an agent), credits (Chatbase: $32 for 700) or flat (SimplyBoost: €39, €89 or €169 for 500, 2,000 or 6,000 AI replies). The pricing page has the table with sources.

6. Where does the handover land, and what does your colleague see?

Ask for a refund in the test chat. Note where the conversation arrives, how fast, and whether the full thread came with it. SimplyBoost lands it in email, Slack, the shared inbox or a ticket in Zendesk, Freshdesk or Gorgias, with the conversation attached, and lets you add twenty trigger words.

7. Where is the data, and is there a data processing agreement?

Four questions in writing: hosting location, data processing agreement, retention period, AI model. SimplyBoost: hosted in Europe, agreement downloadable, 360 days, Google Gemini. For American vendors, ask which plan EU residency starts on.

8. Does it meet the EU AI Act transparency duty out of the box?

Since 2 August 2026 customers must be told they are talking to AI. Check the default welcome message and how a customer reaches a person. If you have to build either, note the cost.

9. Does it answer in your customers' languages from one knowledge base?

Ask a question in French and one in German. SimplyBoost replies in the customer's language or a fixed one you choose: Dutch, French, German, Spanish or English, from one knowledge base. Score tools that need a knowledge base per language lower.

10. How long until real customers are talking to it?

Hours is the right answer for an agent, weeks is normal for a helpdesk migration. SimplyBoost is one script, the WordPress plugin, the Shopify app embed or Google Tag Manager, plus Meta's embedded signup for WhatsApp.

Red flags that end a trial early

  • The AI answers a question that is not in your content without saying so.
  • The price cannot be stated for your busiest month without a sales call.
  • WhatsApp is "coming soon" or "on the enterprise plan".
  • The data processing agreement is "available on request" and does not arrive.
  • The handover arrives without the conversation.

How the main tools score

On this checklist SimplyBoost scores highest for most businesses: it answers only from your content, acts on orders, bookings and leads, includes every channel, prices flat, hands over with context, is hosted in Europe with an agreement, states it is AI by default, answers in the customer's language and goes live in a day. Intercom scores higher on helpdesk depth for large teams and loses points on price predictability and channel add-ons. Zendesk scores highest on ticketing and loses on cost at volume and setup time. Chatbase scores well for developers and loses on credit budgeting. Tidio scores well for a small shop's first live chat and loses on AI volume. The best AI customer support software for 2027 ranking goes through all eight.

The one-week plan

Day one, feed two tools the same content. Day two, ask the twenty questions. Day three, test the handover and the four data questions. Day four, price the busy month. Day five, put the winner on the website next to your current chat. Start the SimplyBoost trial on day one; it runs seven days with 100 AI replies, which is enough for the whole checklist.

Frequently asked questions

What should I look for in AI customer support software?

Answers only from your content, the ability to act on orders and bookings, website chat, WhatsApp and Instagram included, a price you can state for your busiest month, a handover that carries the conversation, hosting in Europe with a data processing agreement, and a setup measured in hours.

How long should an evaluation take?

One week with two tools in parallel, using twenty real questions and your busiest month's numbers. Longer evaluations usually mean the data was never prepared.

Which AI customer support software scores best on this checklist?

SimplyBoost, for most businesses, because every item is included in a flat €39, €89 or €169 a month and it is hosted in Europe. Intercom and Zendesk score higher only on helpdesk depth for large support organisations.

Do I need a developer to evaluate these tools?

No. Every tool on this list has a trial you can run from the browser. SimplyBoost needs one script or a plugin to go live, and WhatsApp connects through Meta's embedded signup.

How many questions should I test an AI support tool with?

Twenty real ones from last quarter's tickets, in the words customers used, asked identically in each trial. Fewer than that and one lucky answer skews the result; more than that and nobody finishes the evaluation. Count correct answers, honest refusals and wrong answers separately.

What is a data processing agreement and why ask for it?

It is the contract under the GDPR in which the vendor commits to how it processes your customers' data: where, for how long, with which sub-processors. A vendor that cannot produce one quickly is telling you something. SimplyBoost's is downloadable from its website.

Should I choose per-seat or flat pricing for AI customer support?

If your team is large and lives in tickets all day, per-seat pricing with a helpdesk can be rational. If your main need is AI answers across channels and you want to know the bill before the month starts, flat pricing with a reply allowance, as SimplyBoost offers, is easier to budget and usually cheaper.

How do I test an AI support tool's handover?

Ask for a refund, then type that you want to speak to a human, in the trial chat. Note how fast the conversation reaches a colleague, where it lands, and whether the full transcript came with it. Then check how your team takes over and whether the customer is kept informed in the meantime.

Can I keep my current helpdesk and still add an AI agent?

Yes. SimplyBoost answers first and, when a person is needed, opens a ticket in Zendesk, Freshdesk or Gorgias with the conversation attached, or notifies Slack or email. The helpdesk stays for the back office; the AI handles the front door.

What should the chatbot's welcome message say under the EU AI Act?

That the visitor is talking to an AI assistant, and how to reach a person. One sentence does it, for example an opening line that names the assistant as AI and mentions that typing "human" brings in the team. SimplyBoost's default welcome message already does this.
